The Jane Goodall Institute Tanzania (JGI-TZ) is a reputable and rapidly expanding non-governmental organization committed to wildlife research, conservation, socio-economic development, and environmental education. Founded in 2001 by Dr. Jane Goodall, DBE, JGI Tanzania, along with its partners, makes a difference through community-centered conservation, chimpanzee research projects, youth environmental education, and the innovative use of science and technology. We work closely with local communities in Tanzania, inspiring hope through the collective power of individual action.
The Jane Goodall Institute Tanzania, with funding from the United States Agency for International Development (USAID), is currently seeking to recruit a suitably qualified and competent Tanzanian to fill the following vacant position:
Job Position: Administrative Assistant
Program: USAID Hope Through Action
Job Type: Full-time
Duty Station: Mpanda
Reporting Line: Office In-Charge
Job Summary:
The Administrative Assistant will support the USAID Hope Through Action project by providing administrative and operational assistance to ensure the smooth functioning of the office. The successful candidate will play a key role in facilitating communication, organizing documents, and supporting project activities.
Key Responsibilities & Duties:
Main responsibilities will include, but are not limited to:
- Office Management: Maintain an organized office environment, manage supplies, and oversee equipment maintenance.
- Communication Support: Handle incoming and outgoing correspondence, including emails, phone calls, and mail. Facilitate communication between team members and stakeholders.
- Document Management: Assist in preparing, formatting, and distributing reports, presentations, and other documents. Maintain filing systems and ensure easy access to project documentation.
- Meeting Coordination: Schedule and organize meetings, workshops, and events. Prepare agendas and take minutes, ensuring timely distribution of information.
- Financial Administration: Assist with budgeting and financial reporting, process invoices, and track expenses.
- Travel Coordination: Support travel arrangements for project staff, including itineraries, accommodations, and transportation.
- Project Support: Provide administrative support for project activities, including data entry, scheduling interviews, and managing participant lists.
- Compliance and Reporting: Ensure compliance with USAID and organizational policies, maintaining accurate records for audits and evaluations.
- Perform any other responsibilities as assigned by the employer.

Minimum Job Qualifications and Other Requirements:
- Main minimum job qualifications and other requirements include: Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Minimum of two to five years of experience in administrative support or related roles.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication skills in both English and Swahili, both written and verbal.
- Demonstrated attention to detail and ability to maintain confidentiality.
- Ability to work collaboratively in a diverse team environment.
- Experience working with USAID or other international organizations.
- Knowledge of financial management practices.
- Familiarity with project management software.
